The Challenge
A hospitality group with a national footprint approached HumanX with suspicions that a department manager misrepresenting hours logged by him and his team over a long period of time.
Inconsistent timekeeping records, discrepancies in employee pay and witness accounts raised concerns about potential internal fraud. The group’s General Manager sought our guidance in conducting a thorough and unbiased workplace investigation to make findings of fact in relation to the allegations of fraud.
Our Solution
Investigation Process:
Initial Assessment and Scope Definition: Our workplace investigation began with an in-depth assessment to understand the brief and scope of the alleged matters. This step allowed us to identify potential key individuals involved and develop a comprehensive investigative strategy. Data Analysis and Pattern Recognition: We meticulously analysed timekeeping records, payroll data, and employee schedules to identify patterns of discrepancies. Our focus was on pinpointing inconsistencies in reported hours and detecting any fraudulent activity.
Digital Trail Analysis:
A forensic analysis of electronic records, timekeeping systems, communication channels, and company-provided mobile phone service logs was conducted to track digital footprints and conduct subsequent analysis against reported hours worked.
Allegations and Employee Interviews:
We developed allegations which we put to the identified respondents. We invited the respondents and witnesses to interviews which were transcribed once consent was obtained. All persons interviewed were provided the opportunity to bring a support person to the interview. The interviews allowed us to test the evidence gathered against the statements provided in the interviews.
Analysis, QA and Report:
At this stage we weighed up all the evidence gathered and made findings of fact with respect to each allegation investigated. We developed a draft report which underwent a quality assurance review in accordance with the HumanX Workplace Investigation Framework. We presented the final report to the client and met with their management team to debrief.
The Results
Our workplace investigation unveiled a systematic manipulation of reported hours by the manager and his team for financial gain through fraudulent practices. Armed with our insights, the company implemented corrective measures including disciplinary actions, enhanced timekeeping protocols, and ongoing training.
